How do I sign up to be a volunteer at Country Club?
New Volunteer Requirements effective 2023-2024 school year
In SRVUSD, we continue to prioritize student safety and improve our procedures for processing and clearing volunteers. We are making some enhancements to SRVUSD's volunteer clearance process via our volunteer management system, Be A Mentor (BAM), effective for the beginning of the 2023-2024 school year.
Please review the important information below, but do not make any updates or apply as a new volunteers until after June 2nd.
We are providing this information to all current SRVUSD parents and caregivers, regardless of whether you have been previously cleared. SRVUSD partners with BAM to allow parents and caregivers to be cleared as school volunteers at the level of their choosing. This includes:
- Level One: General School Volunteers and Day Field Trip Chaperones
- Level Two: Field Trip Drivers
- Level Three: Overnight Chaperones
The following two (2) changes will be part of the approval process for the 2023-2024 school year:
- Volunteers at all three levels will now be required to provide proof of Tuberculosis (TB) clearance every four (4) years. If you have proof of TB clearance within the last four (4) years, that is accetable to meet this requirement (reminder, please do not upload this clearance until after June 2nd.
- Please consult directly with your medical provider to find out information about what TB test option is best for you
- You can also locate community providers for testing if you don't have access to your own medical provider.
- We also encourage you to review more information on Tuberculosis and TB Testing from Contra Costa Health Services.
- Level Three volunteers will now be required to complete Mandated Reporter training annually (takes approximately 40 minuted to complete) and Sexual Harrassment training every two (2) years (takes approximately 60 minutes to complete)

If you are currently registered in BAM, you will receive an email from them soon prompting you to complete any new requirements, including trainings, prior to the start of next school year. All new requirements must be completed by August 9, 2023. We strongly recommend you begin this process prior to June 30, 2023 (but after June 2nd!), to avoid delays in receiving clearance for the 23-24 school year! Volunteers in the BAM system who have not completed all of the updated requirements by August 9, 2023, will not be allowed to volunteer until they have done so.
PROCESS FOR SCHOOL VOLUNTEERS
Adults who wish to volunteer on a school campus, drive and/or chaperone a day and/or overnight field trip and/or athletic event need to apply through the Volunteer Management System (VMS). The VMS is a web-based software application that allows the District and all schools to better track and provide the appropriate level of clearance for school volunteers.
PLEASE BE AWARE
Parent/guardian chaperones, if providing supervision, on school-sponsored trips, or field trips, are not permitted to bring along siblings of trip attendees or any other children. (AR 6153)
The VMS includes three (3) levels of volunteer clearance and tracking. Please know that the District will NOT be asking parents to incur any of the costs associated with these clearance processes. During the online application process, you will be asked to choose the level or levels of clearance you will need based on your anticipated involvement. You may choose to select one, two or all three levels of clearance:
Level 1.
Classroom Aides and other on-campus school volunteers: This is the most basic level, and includes completion of the Volunteer Online Application, and a search of the Sex Offender Registry.
*This level of clearance will allow you to act as a volunteer in classrooms, support campus activities and chaperone day field trips (as a non-driver). Clearance takes 48 hours.
Level 2.
Field Trip Drivers: The District will obtain a 10-year driving history and DMV “Pull Notification" ("Pull Notification" allows the District to be notified any time there is a reportable traffic violation or incident that is registered with the Department of Motor Vehicles). It verifies that each driving record has fewer than two driver violation points on it. It also includes completion of the Volunteer Online Application, including uploading driver's license and declaration of insurance, and a search of the Sex Offender Registry.
All drivers must maintain liability insurance of at least $100,000/$300,000 bodily injury and $25,000 property damage per occurrence. *This level of clearance will allow you to transport students as a driver for field trips, extra-curricular activities and athletic events. Clearance for this level could take up to 10 days.
Level 3.
Overnight Chaperones: The District will be conducting background clearances on all Overnight Field Trip volunteer applicants. This is the most stringent level of clearance. It includes criminal background clearance through the FBI and Department of Justice, and requires applicants to be fingerprinted at one of several local, SRVUSD-approved Live Scan Locations. (For a list of locations, click here. *SRVUSD will cover the cost of fingerprinting only at these locations.) For additional requirements for chaperones who are also driving on a trip, see Level 2 above. *This level of clearance will allow you to act as a chaperone for overnight field trips and activities. Clearance for this level could take approximately 45 days.

NEED TO CHANGE SCHOOLS, ADD A SCHOOL, OR A VOLUNTEER ACTIVITY?
- Login to your VMS account at Be A Mentor
- Select the “My Activities” tab on the left hand side of the screen.
- Follow the instructions at the top of the page in the blue box.
- Deactivate activities from your previous school at the end of the school year to ensure that you are able to volunteer for any end-of-year activities.
Sentry, Visitor Pass ID System
This year, all SRUVSD schools are implementing a new computerized visitor pass system to improve security as it relates to visitors on our campus. Operated by our volunteer management system, “Be A Mentor,” the new “Sentry, Visitor Pass ID System” will mean that all visitors, including volunteers, must slide a photo ID card into the system to be registered as a visitor before being issued a guest or volunteer pass to go onto our campus. As they have in the past, volunteers need to go the Be A Mentor website and register, then when they swipe their ID at the school site, they will show up as approved in the system.
